Terms & Conditions Policy

Welcome to SpineBooth 360. These Terms & Conditions (“Agreement”) govern all bookings, services, rentals, and interactions with SpineBooth 360 (“Company,” “we,” “our,” or “us”). By booking our services, making a payment, or using our website, you (“Client,” “Customer,” or “you”) agree to be bound by the following Terms & Conditions.

Please read this Agreement carefully.

1. Services Provided

SpineBooth 360 provides 360° video booth rental services for private and public events, including but not limited to:

  • Weddings

  • Birthday parties

  • Corporate events

  • Brand activations

  • School events

  • Private celebrations

  • Festivals and public gatherings

Our services may include equipment rental, booth setup, lighting, props, custom overlays, attendants, instant sharing capabilities, and digital content delivery.

All services are subject to availability and written confirmation.

2. Booking & Payment Terms

2.1 Reservation Deposit

A non-refundable deposit is required to secure your event date. Dates are not reserved until the deposit is received and confirmed in writing.

2.2 Final Payment

Please pay the remaining balance no later than 7 days before the event date unless you agree to it.

If the final payment is not received on time, SpineBooth 360 reserves the right to cancel the booking without a refund of the deposit.

2.3 Payment Methods

We accept approved payment methods listed on our invoice or website. All payments must be made in U.S. Dollars unless otherwise agreed.

3. Cancellations & Refund Policy
3.1 Client Cancellations
  • Deposits are non-refundable.
  • Cancellations made 14 days or less before the event are non-refundable in full.

  • If cancellation occurs more than 14 days before the event, any payments made beyond the deposit may be eligible for a partial refund at the Company’s discretion.

3.2 Rescheduling

Rescheduling requests must be made in writing. We will attempt to accommodate new dates based on availability. If the new requested date is unavailable, the cancellation policy applies.

3.3 Company Cancellation

In rare circumstances where SpineBooth 360 must cancel due to unforeseen events (equipment failure, illness, emergencies, force majeure), liability is limited to a full refund of all payments received.

4. Event Requirements & Client Responsibilities

The Client agrees to provide:

  • Adequate space for setup (minimum 10×10 feet recommended)

  • Access to a standard power outlet within 25 feet

  • Safe, dry, indoor, or weather-protected environment

  • Crowd control if necessary

  • Venue permission (if required)

SpineBooth 360 reserves the right to refuse service if conditions are unsafe or inappropriate.

5. Equipment Use & Damage

All equipment provided remains the property of SpineBooth 360.

The Client agrees to:

  • Ensure guests use the booth safely

  • Prevent misuse, damage, or tampering

  • Be financially responsible for any damage caused by guests, venue staff, or third parties during the event

Any damage caused by negligence, intentional misconduct, liquids, or unsafe behavior will result in repair or replacement fees billed to the Client.

6. Liability & Indemnification

SpineBooth 360 shall not be liable for:

  • Personal injury during use of the booth

  • Guest misconduct

  • Loss of personal property

  • Venue-related incidents

  • Power outages or internet interruptions

  • Acts of God (natural disasters, weather, emergencies)

The Client agrees to indemnify and hold harmless SpineBooth 360, its employees, contractors, and affiliates from any claims, damages, or liabilities arising from the event.

7. Media Rights & Content Usage
7.1 Client Access

Clients will receive digital copies of event content within the agreed timeframe.

7.2 Promotional Use

Unless otherwise agreed in writing, SpineBooth 360 reserves the right to use event photos and videos for:

  • Marketing

  • Social media

  • Website portfolios

  • Promotional materials

If a Client does not wish for their content to be used, written notice must be provided before the event.

8. Digital Delivery & Technology Limitations

While we strive for flawless performance:

  • Internet-dependent sharing features are subject to network availability.

  • Technical issues beyond our control may affect instant delivery.

  • SpineBooth 360 is not responsible for delays caused by third-party platforms (Instagram, email providers, SMS services).

All reasonable efforts will be made to ensure successful content delivery.

9. Overtime & Additional Fees

If the event runs longer than the contracted time:

  • Overtime fees may apply

  • Overtime must be approved by a SpineBooth 360 representative

  • Payment for overtime may be due immediately or invoiced afterward

Additional services requested on-site may incur additional charges

10. Force Majeure

SpineBooth 360 shall not be held liable for failure to perform due to circumstances beyond our control, including but not limited to:

  • Natural disasters

  • Severe weather

  • Government restrictions

  • Power failures

  • Venue shutdowns

  • Acts of terrorism

  • Pandemics

In such cases, rescheduling options may be offered.

11. Alcohol & Guest Conduct

SpineBooth 360 reserves the right to:

  • Refuse service to intoxicated or disruptive individuals

  • Shut down the booth temporarily or permanently if safety becomes a concern

No refund will be provided if shutdown is due to unsafe or inappropriate behavior.

12. Intellectual Property

All branding, logos, overlays, designs, and proprietary booth software remain the intellectual property of SpineBooth 360.

Clients may not copy, resell, or reproduce our designs or materials without written consent.

13. Website Use

By using our website, you agree to:

  • Provide accurate information

  • Not misuse or attempt to hack our systems

  • Not copy website content without permission

SpineBooth 360 reserves the right to update website content at any time.

14. Privacy

We respect your privacy. Personal information collected during booking is used solely for:

  • Event coordination

  • Communication

  • Payment processing

  • Content delivery

We do not sell personal data to third parties.xa

15. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the United States and the state in which the event takes place, without regard to conflict of law principles.

16. Amendments

SpineBooth 360 reserves the right to update these Terms & Conditions at any time. Updated versions will be posted on our website and will become effective immediately upon posting.

17. Acceptance of Terms

By submitting payment, signing a contract, or allowing SpineBooth 360 to perform services, you acknowledge that you have read, understood, and agreed to these Terms & Conditions
